Repair Or Replace? Run These Four Checks

Nobody wants to be told to replace a system by the person who would sell them the replacement. So here is the framework we actually use, written down, so you can run it yourself before we arrive.

Check One: Age Against Expected Life

Find the data plate on the outdoor unit and the furnace or air handler. The manufacture date is usually encoded in the serial number, and any technician can read it in seconds.

Systems have a typical service life, and where a unit sits against it changes the maths on every subsequent decision. A well-maintained system early in its life is worth repairing almost regardless of the fault. A system near the end of its expected life is a different conversation, because the next failure is a question of when rather than whether.

Age alone is not a verdict. It is the context for the other three checks.

Check Two: Refrigerant Type And Availability

The refrigerant type is printed on the same plate. This matters because refrigerants get phased out, and once a type is out of production the cost of recharging a leaking system rises and keeps rising.

If a system is on a phased-out refrigerant and has a leak, you are not choosing between repair and replacement in the abstract. You are choosing between replacement now and replacement after paying to top up a system that will leak again.

If it is on a current refrigerant and holds a charge, that is a strong argument for repair.

Check Three: Repair History This Decade

Count the repairs in the last five years, and note whether they were the same subsystem.

One capacitor and one contactor over five years is normal wear. Three separate faults in two years, especially across different subsystems, usually means the system is telling you something the individual invoices do not.

If you do not have records, that itself is worth fixing from today. Keep the invoices in one place; the pattern is the useful information, not any single visit.

Check Four: The Cost Ratio

The trade’s common rule of thumb is to weigh the repair quote against the cost of replacement, and to treat a repair approaching roughly half the replacement cost on an ageing system as pointing toward replacement. It is a heuristic, not a law, and we will tell you which way it points on your equipment rather than applying it mechanically.

We are not publishing prices here — they depend on the equipment, the fault and the installation. What we will do is give you both numbers in writing on the same visit, so the ratio is something you can see rather than something you are told about.

The efficiency difference between old and new equipment also belongs in this calculation, and it is worth asking for it as an estimate with its assumptions stated rather than as a headline saving.

When We Tell You To Wait A Season

Sometimes the right advice is neither. If a system is ageing but currently working, the fault was minor, and you are heading into a shoulder season, replacing in a hurry during a heatwave is the most expensive way to do it.

In that case we will say so: make the small repair, plan the replacement for a quieter month, and get quotes without a deadline. We would rather tell you that than sell you a system on the hottest day of the year.
